Configurable Services: An automation system that lets you take control of your integration and automation needs between Zoho CRM and  Airtable.

Pro Tip 1: Providing a proper name and adding a short description of the service

First things first ! providing a proper name and description for a service is essential for clarity, organization, and efficient management. A descriptive title helps us quickly understand the purpose of the service and easily identify it among others.

Additionally, a concise description provides valuable context and details about the service's function, eliminating confusion and ensuring proper configuration. This approach enhances collaboration, reduces errors, and saves time by ensuring everyone involved understands the service's role and significance in the workflow especially when there are multiple services lined up in the listing.

Pro Tip 2: Conditionally export records from Zoho CRM modules to Airtable

Using Airtable Appiworks for Zoho CRM we can set certain conditions or filters during configuring export services, based on which records from Zoho CRM module gets exported.
Imagine a real-life scenario within an organization where Leads in Zoho need to be efficiently managed across different tables in Airtable. One table in Airtable called "Contacted Leads" is responsible for handling Leads that have already been contacted atleast once, while another team called "Leads Progress" specializes in managing leads that are currently in progress.

This objective can be accomplished by establishing two distinct services. The first service caters to table "Contacted Leads," wherein the service configuration entails setting the condition filter to "Status" equals "Contacted" and selecting the appropriate table as "Contacted Leads." Conversely, the second service is dedicated to team "Leads Progress," where the configuration involves setting the condition filter to "Status" equals "In Progress."

So using AppiWorks you can basically automate this task whenever you create or update the records on Zoho CRM. In case, if you want only selected records from Zoho CRM to be created in Airtable, no worries, AppiWorks does have a solution for that also. You can manually select the records in Zoho CRM and export them into Airtable.

Pro Tip 3: Scheduling an Import Service

Imagine the need to efficiently import records from our Airtable database to our Zoho module in bulk. There exist two primary methods for achieving this.

The first, Quick Import, suits smaller volumes of records or when manual selection is preferred after previewing them. Alternatively, scheduling an import is optimal for handling larger quantities of data. Within the scheduling step, two types are available: one occurring at a specific time and the other at intervals.

In the specific type of import, the service attempts to import all the records from Airtable at once. In the case of interval-based scheduling, choices range from monthly to hourly or even every 30 minutes. It's crucial to activate the incremental import switch and map a datetime field, ideally 'created at,' to prevent duplicate record imports.

Pro Tip 4: Visualize the data from Airtable database right inside Zoho CRM

Let us consider a real-life scenario where we need to view the list of tasks assigned to a person from Tasks table in Airtable into our Zoho Contacts Module. With Appiworks for Zoho CRM, accomplishing this task becomes seamless. By creating a view service for the Zoho Contacts module, we can easily set filters in the connecting filter step. We can set the filter as asignee email in Airtable Task table equals contacts email field in Zoho CRM.

These filters determine which data will be displayed in the dedicated widget within the contact details page, providing us with the relevant information we need at a glance.
